PTO Toolkit

This toolkit is designed to mainstream the process for PTO members from all six schools as well as the District's Communications Department. Using these tools will only submit a request; someone will verify, review the content, and notify the person who needs the details to send out the request. 

Requests should only be made by Meramec’s Communications Chair and submitted at least one (1) business day in advance of the distribution date. Requests are only processed when students are in school, including summer break.

Payment Forms and Requests

All receipts must be submitted within 30 days, otherwise they will not be reimbursed. 

Expense Reimbursement Policy:

All expenses should be submitted to the PTO Treasurer for reimbursement.  Expenses must be accompanied by a receipt or supporting documents.  Expenses will not be reimbursed unless proper support is received. 

The Meramec PTO is a tax-exempt organization.  If you require a copy of the sales tax exemption letter, please email Meramec Co-Treasurer's Nikki Freymann and Matthew Laurie.  The letter should be used for all purchases.  The Meramec PTO will not reimburse any sales taxes incurred for PTO purchases.

Budget vs Actual Expense Policy:

The PTO Budget is approved by the PTO Board at the beginning of the school year and may be obtained from the PTO Treasurer.  Total expenses for each event must not exceed the total expenses per the board-approved budget.  Please try to obtain advance approval for any expenses that are expected to exceed the budget.  Any excesses must be approved by the PTO Board prior to reimbursement.
